Best HVAC software for small shops (2026)

Small Shop Fit is an independent publisher. Not a software vendor.
Updated 29 Aug 2026 (MDT). Features below are from each vendor’s official industry, help, or pricing pages. Dollars are from official pages and labeled when they conflict. We did not run a field test. This page is for small shops, not a 40-truck fleet.

Year-one cost at 1, 5, and 8–10 users on the general lists: Jobber vs Housecall Pro. Full tiers: Jobber pricing and Housecall Pro pricing. Growing out of that band: Jobber vs Housecall Pro vs ServiceTitan.

Who this page is for

A residential or light-commercial HVAC shop with 1–10 techs. The decision frame:

  1. Memberships / service agreements — tune-ups on a plan, card on file, sold from the estimate.
  2. Parts and job cost — material on the invoice, purchase orders, real margin vs quoted margin.
  3. Dispatch — no-cool calls, closest tech, on-my-way texts.
  4. Changeouts vs service — good/better/best proposals, financing, progress billing.

ServiceTitan is in the conversation for HVAC more than for lawn or cleaning. It still does not publish a list price. Official path: Request Pricing / Free Demo.

The short recommendation (from official lists, not a test)

Start with Jobber if you want a published price, a 14-day Grow trial, and the HVAC page’s stack: dispatch, route optimization, recurring maintenance auto-scheduled, progress invoicing, job costing, optional line items (air purifiers, UV, dehumidifiers, duct sealing, smart thermostats) packaged as good-better-best, Wisetack financing as an integration, Jobber Receptionist, Client Hub. Job costing and two-way SMS are Grow on /pricing/ (1 user $149/mo annual, $1,788 year one). Core ($29/mo annual, $348) does not list job costing.

Look at Housecall Pro if you want job costing, a price book, and consumer financing on Basic, or the HVAC Package extras (memberships sold on the estimate, sales proposals, KPI dashboard, purchase orders, fee-free surcharging, equipment tracking, AI Pricing Insights, Pipeline). Those extras are documented on the HVAC Package help article and the HVAC industry page. Do not use the general $59 / $149 / $299 table as the HVAC Package price. See the conflict below.

Talk to ServiceTitan when you have (or are hiring) a full-time office person, you want customizable memberships / payroll / call booking on the package chips, and you will sit through a demo. ServiceTitan HVAC lists multi-option proposals, job costing, service agreements, pricebook, dispatch board, QBO, and a mobile app. Demo form asks “Do you have at least one full-time office employee?” No public dollar.

Housecall Pro Mechanical / HVAC Package — published conflict

Housecall Pro’s llm-info page (as of July 2026): “Housecall Pro also offers a Mechanical Package with different pricing for HVAC, plumbing, and electrical contractors.” No dollar on that page.

The HVAC Package overview (help center): “For current pricing, see the HVAC Industry Page or pricing.” Feature table, no dollars. Exclusive HVAC-package tools, by the help article’s own plan tags:

The HVAC industry page FAQ, “As of July 2026,” does print HVAC-software dollars that do not match /pricing/:

/pricing/ general list (FACT)HVAC industry FAQ (EVIDENCE, July 2026)
Basic, 1 user$59/mo annual / $79 monthly$79/mo
Essentials, individualnot a 1-user SKU on /pricing/ (5 included)$229/mo
Essentials, 5 users$149/mo annual / $189 monthly$299/mo
MAX, individualnot a 1-user SKU on /pricing/ (8 included)$399/mo
MAX, 8 users$299/mo annual / $329 monthly$649/mo

The same HVAC page’s plan widget still contained $XX/mo placeholders and a $349 MAX figure that does not match the FAQ’s $399. We will not pick a winner. We will not lock a Mechanical Package dollar as FACT. If you are HVAC, open Housecall Pro’s HVAC industry page and /pricing/, and assume the Mechanical Package can cost more than the general list.

Jobber’s comparison page also prints Housecall Pro “varies by industry” ranges. Those ranges are not on Housecall Pro’s pricing page. We are not using Jobber’s competitor table as HCP FACT.

Decision frame: memberships, parts, dispatch

Memberships / service agreements

What the shop needsWhat official pages actually say
Recurring tune-upsJobber HVAC FAQ: automatically schedule future visits and send reminders when service is due. Automations on the HVAC page: recurring maintenance scheduled and invoiced. Auto-pay is Connect. Housecall Pro MAX: Recurring Service Plans. HVAC Package: sell memberships on the job or estimate starting at Essentials (help article). HVAC industry page: auto-charge cards, keep maintenance plans billed. Lower-plan add-on dollar on the general list: not published. ServiceTitan: “Customizable Memberships” on all three packages; HVAC page: service agreements, automate payments and scheduling.
Sell the plan from the drivewayHousecall Pro HVAC Package: membership on the estimate, one signature, one payment (Essentials). Sales Proposal Tool bundled from Essentials on the package; $40/mo on general Basic/Essentials (EVIDENCE). Jobber: optional line items and good-better-best packages on the HVAC page; visual quotes / optional line items are Grow. ServiceTitan: multi-option proposals that convert to agreements.

If memberships sold on the estimate are the buying reason, Housecall Pro’s HVAC Package and MAX are the pages that name that workflow. Jobber names recurring maintenance and auto-pay, not a “Membership Plans” SKU on /pricing/.

Parts and job cost

What the shop needsWhat official pages actually say
Job costingJobber: Grow on /pricing/; HVAC page: labor, materials, equipment, real time. Housecall Pro: Basic on the general list; HVAC page: labor and material on every install and repair. ServiceTitan: job costing called out on the HVAC commercial feature set.
Price bookHousecall Pro: named on Basic. HVAC page: pull pricing from the price book; AI Pricing Insights on MAX / HVAC Package. Jobber: not named on /pricing/. HVAC page talks about templates and optional line items, not a “price book” SKU. ServiceTitan: Pricebook on all three packages.
Purchase ordersHousecall Pro HVAC Package: Purchase Orders on Basic (help article) — tied to a job’s material line items. Jobber and general HCP /pricing/: not named. Unpublished on those pages.
InventoryNot a named first-party SKU on the Jobber HVAC page or HCP /pricing/ we fetched. HCP llm-info lists “deep inventory management” under limitations. ServiceTitan HVAC FAQ mentions inventory management in a growth paragraph. We will not invent a parts-room product.
Financing the customer’s installHousecall Pro: consumer financing on every plan; HVAC page: instant financing on big-ticket installs. Help-center processing: consumer financing starting at 3.9% (EVIDENCE). Jobber: Wisetack integration on the HVAC page; Jobber Capital on /pricing/ is financing for the business. ServiceTitan: Financing is a named module on the lawn page; HVAC page talks about capturing card/check in the field. Processing rates: not on ST /pricing/.

Dispatch

What the shop needsWhat official pages actually say
Closest tech / no-coolHousecall Pro HVAC page: route the nearest tech to emergency repairs; “On my way” with GPS tracking. Essentials: routes + employee GPS. MAX: route optimization. Jobber HVAC page: drag-and-drop, route optimization, GPS tracking, on-my-way texts. GPS nuance (flagship): live tracking via fleet partners on the scheduling page. ServiceTitan: drag-and-drop dispatch board; HVAC FAQ: smart dispatching, right tech on the right job.
Progress billing on a changeoutJobber HVAC page: progress invoicing by milestone. Housecall Pro HVAC page: progress invoicing on multi-day installs; commercial FAQ: bill in stages, batch-invoice recurring accounts. ServiceTitan HVAC: AIA-style billing named under project tracking.

FAQ

Is Housecall Pro more expensive for HVAC than the $59 Basic I see on blogs?
It can be. The general /pricing/ Basic is $59/mo annual. The HVAC industry FAQ (July 2026) prints different HVAC-package numbers. Help says see the industry page. We will not lock one HVAC dollar.

I need memberships. Which published plan?
Housecall Pro: Recurring Service Plans on MAX; HVAC Package sells memberships from Essentials (help article), add-on dollar on the general list not published. Jobber: recurring maintenance + Connect auto-pay. ServiceTitan: Customizable Memberships on every package, demo to price it.

Should a two-truck shop demo ServiceTitan?
Only if you want the demo-led stack (call booking, payroll chips, memberships, office employee on the form) and you will wait for a quote. The two-way page is the cost comparison you can finish this afternoon.
